Volunteer import
VOLAGIC is designed so that volunteers can register themselves and sign up for shifts. You can also import a membership list directly and easily.
Edit, suspend or delete

Group management
Your volunteers can be organised into groups, with a wide range of possible use cases.
Club
If your club has several teams or different membership categories, you can set them up as groups in VOLAGIC. This lets you see how much each group contributes and assign individual groups to specific events.
Community event
Organising a community event where several clubs are helping out? Add each club as a group so you can always see how much each one has contributed.
Events with volunteers only
Even when an event is run entirely by volunteers, groups can still be useful. They can be used to restrict certain roles – for example, preventing under-18s from signing up for bar shifts.
Controls and permissions
VOLAGIC gives you several ways to control who can sign up for which shifts and when. This means you can give volunteers the freedom to choose their own shifts while still keeping everything under control.
Roles
A role is the actual task carried out during a shift. You can restrict access to certain roles by group, so only eligible volunteers can sign up.
You can also assign a value to roles. If volunteers need to complete a certain number of hours, you can give more important or less popular roles a higher value, making them more attractive to volunteers.
Groups
Once you have set up groups, you can assign them responsibility for specific events. Volunteers belonging to these groups will see those events first, helping shifts to fill more quickly.
Unlimited admins – with flexible permissions
Different people are often responsible for different events. VOLAGIC makes it easy to manage this.
Admins with full access
Create an account for anyone who needs full access. You can have as many admins as you need, and they can all work in the system at the same time.
Admins with read-only access
Need to give someone access without allowing them to make changes? Read-only admins can view everything but cannot edit anything.
Admins with restricted access
If different people need to manage different events, you can create separate areas and assign admins to them. They have full access to their own area but cannot make changes elsewhere.
Notifications
Set different notification options for each admin account. Want to know when someone registers or gives up a shift? Simply enable the relevant notification.
Shift allocation
Self-service
VOLAGIC is designed so that volunteers can sign themselves up for shifts. This means they only take shifts they are actually able to work. The big advantage is that organisers do not have to deal with shift allocation, changes and cancellations.
Manual
Sometimes manual allocation is necessary – for example, for specific roles or events where volunteers need to be assigned in advance. VOLAGIC makes this easy too.
Automated
Have volunteers who have not signed up by the deadline and have not yet completed their required hours? Instead of assigning shifts one by one, you can allocate them automatically with a single click.
Communication
Communication with your volunteers is a key part of successful volunteer scheduling. That is why VOLAGIC provides several ways to communicate.
Automated
Whenever a volunteer signs up for a shift, they automatically receive a confirmation with all the relevant details. Shortly before the event, the same information is sent again as a reminder. You can also enable different notifications for admins, and even notify the venue manager that an event is coming up.
Manual
Need to let everyone know that there are still shifts available? Or tell the volunteers at an event that sun cream will be provided? No problem. With our messaging centre, you can send targeted messages to any relevant group of recipients.
Passive
Information can be added throughout the platform wherever it is needed and shown to volunteers at the relevant point. This helps ensure that all important information reaches the people who need it.
