For clubs
Whether it’s a league competition, a club anniversary or simply lots of smaller volunteer shifts throughout the year, there is always plenty to organise in a club. How can you make it easier? With VOLAGIC!
Clubs have a lot to organise: tournaments, jumble sales, village festivals and other events. It doesn’t take long for many clubs to build up a large number of volunteer shifts. Every shift needs someone to fill it. Unfortunately, it is often the case that a small number of dedicated people end up doing most of the work. That is not only unfair, but also unsustainable. Sooner or later, even the most committed volunteers may no longer be able or willing to keep doing it all.
A much more sustainable approach is to spread the workload across more members. When everyone contributes, there is less work for each individual. At the same time, getting involved together strengthens the sense of community within the club. Members get to know each other better and the club grows stronger.
To encourage this, you can define volunteer targets for different membership categories or teams. Eight hours of club volunteering spread throughout the year is manageable for most members. It is also important to define what happens if a member does not meet their target.
How VOLAGIC supports your club
With VOLAGIC, you have a powerful tool for managing all kinds of tasks and volunteer shifts within your club. Members can browse the platform and choose suitable shifts themselves. You always have a complete overview of how many volunteer shifts still need to be filled.
You can also define how many volunteer shifts members of each group are expected to complete. Whether you organise members by teams, membership categories or other criteria, you can set up groups to suit your club. At any time, you can see which members have not yet met their target. Optionally, group members can also see who in their group has completed their shifts and who has not, helping to keep participation transparent. At the end of the club year or season, you can export a report with one click and immediately see who has not met their target.
More useful features
Blackout dates
With blackout dates, you can define periods during which members of a group cannot sign up for volunteer shifts. This is particularly useful for active teams that are competing in a league or championship themselves. By entering match days as blackout dates, you can prevent clashes between volunteer shifts and fixtures.
Automatically assign shifts
Some clubs set a deadline before the season by which members must sign up for their volunteer shifts. After the deadline, the club assigns the remaining shifts to members. With VOLAGIC, this can be automated. Every event includes an “Automatically assign shifts” option. When enabled, VOLAGIC automatically identifies people who are suitable for the task and who are furthest from reaching their volunteer target.
Benefits of VOLAGIC for your club
VOLAGIC saves time, reduces the workload for organisers, preserves valuable know-how and makes it easier to hand responsibilities over to new committee members. Club members always know how much they need to contribute and when. They sign up for shifts themselves, while organisers can see at any time who has not yet met their target. No more chasing people by phone. Once events and shifts have been set up in the system, they can be copied and reused at any time. This reduces planning work for future seasons to a minimum. Digital volunteer scheduling that makes life easier for your successors too.
