Groups
You can divide all Helpers into groups. For each group, you can determine which Job the group members should perform and what the group target value is. With the target value, you can specify a minimum number of Helper Tasks for group members. How all of this works is shown in the following video:
Blocked Dates Import
Blocked dates are suitable for groups that are unavailable on specific days and cannot be assigned to Tasks themselves. A good example is sports clubs: If a team has a game, it usually doesn’t make sense for team members to also take on a Helper Task on the same day. In the following video, we show you how to easily import blocked dates via Excel. This is especially useful if you have an Excel file with all the game dates.
FAQ
What function do groups serve?
All Helpers can be divided into groups. Different functions can be used for each group. Target values can be defined, Jobs and areas can be assigned, and members of a group can be contacted directly.
Can groups be assigned responsibilities?
For each group, you can set which Jobs are suitable for the group. Additionally, in the organizational settings, you can define whether the selected Jobs are mandatory. If this option is chosen, group members can only take on the selected Jobs.
Can anyone sign up for a group?
Administrators can define whether Helpers can assign themselves to a group during registration or not. This gives administrators full control.
Can a mandatory target value be defined for a group?
For each group, a target value can be defined that every member of the group must achieve. Additionally, a group target value can also be defined that the members of the group must achieve together. In this case, it does not matter how much each individual contributes.
What happens when groups are assigned to an area?
Assigning an area to a group has no effect on the group members themselves. However, it is useful for administration. When a group is assigned to an area, that group will not appear for other areas during manual assignment. This allows administrators to "pre-sort" and streamline the process.
Is it possible to exclude specific dates for groups?
Yes, so-called blocked dates can be recorded for each group. A blocked date is a day on which the members of a group cannot take on any Tasks. This can be useful, for example, to ensure that teams do not take on any Helper Tasks on their own match days.
Can groups and events be linked?
With the responsibilities of a group, events can be selected for which the members of the group are responsible.
