Jobs

Define Jobs to specify the Tasks your Helpers can carry out. For each Job, you can define a designated group. Here, you also set the Task value for each Job. Importantly, you can note the requirements a Helper must meet (minimum age, course attendance, vehicle licence, etc.). You can also upload a PDF with detailed instructions directly.

We’d like to point you to our blog article "Defining Jobs" here. In the article, you’ll learn about the importance of keeping the number of Jobs as low as possible and how to manage with just a few Jobs.

The article on "Measuring Tasks" is also helpful in this context.

FAQ

What are Jobs?

In VOLAGIC, Jobs describe the activities for which people are needed to volunteer and help during Events.

What content describes a Job?

Each Job is defined by a title. The description clearly outlines all the activities involved in the Job so Helpers understand what is required. Additionally, you can record any special requirements needed to carry out the Job, such as a valid referee licence, a minimum age of 18, or a driving licence.

Is there a best practice for creating Jobs?

Use as few Jobs as possible. This means Jobs should be formulated in a modular way so they can be used in as many Events as possible. The Job "Bar" can be easily reused, whereas the Job "Bar – Summer Festival" is tied to a specific Event and has limited reusability.

For more details, check out the blog: Defining Jobs.

Is there an option to add a file attachment?

You can attach a PDF to each Job to share additional Job-specific information.

What does the "responsible" option mean?

When the "responsible" option is enabled for a Job, this Job type can be assigned Event or Shift responsibility within an Event.

For example, if you need 10 people to run the bar and 1 person to be the bar manager, you can assign responsibility in the Event detail view by checking the box in the relevant row for that Task.

Can you assign a value to Jobs?

For each Job, you can set an individual Task value. This value can be defined per Task or per hour. Payment is then calculated in the unit specified by your organisation (adjustable in your organisation’s settings).

How do I record times for Jobs?

You record the Task times for a Job directly in the Event. There, you can specify how many Tasks of a particular Job type you need. The Task time usually follows the Event or Shift time. However, you can define different Task times if needed. If a different Task time should always apply, you can record it directly in the Job.

For example, for the Job "Daily Manager," it might make sense to set a different start time in the Job because the Daily Manager should always arrive 30 minutes earlier. The same applies to end times.

Can Helpers sign themselves up for a group?

Administrators can determine whether Helpers can sign themselves up for a group during registration. This setting can be controlled individually for each group.

Are there responsibilities for Jobs?

For each Job, you can specify which groups can take on those Jobs and which cannot. With an Expert subscription, Jobs can be assigned to specific Sections. These Jobs can then only be used in Events within the corresponding Sections.
