Events?
Events in VOLAGIC do not necessarily correspond to the common understanding of an event. An Event may represent a three-week music festival, an evening barbecue, or a full day of home matches. Using Events in VOLAGIC allows you to structure your activities in a way that provides the best possible overview for both you and your Helpers.
Optimised for administrators or Helpers?
VOLAGIC was designed to make organising and coordinating Helpers as simple as possible. Naturally, the most important goal is for Helpers to take on Tasks. For this reason, the structure and clarity of the Helper section are just as important as the structure and clarity of the administration area.
We therefore recommend reviewing both perspectives regularly. When setting up your Events, go through the process as a Helper from time to time, from registration through to signing up for a Task. This ensures that what you create in the administration area is also clear for Helpers and enables them to find and accept Tasks quickly and easily.
Structure in VOLAGIC
You can structure your activities using three levels.
1. Events
As mentioned above, an Event in VOLAGIC does not necessarily correspond to your entire activity. You may divide a single activity into several Events, for example by day, by Location, or by different departments or areas of responsibility. Three different Event types are available:
- Event with Shifts
- Event without Shifts
- From Pro subscriptions: Multi-day Event with Shifts
2. Shifts
Shifts allow you to structure Events in greater detail. They can be used as time slots (morning shift, afternoon shift, etc.), as combined Location and time slots (marquee – morning), or in any other way that suits your organisation. A Location can also be assigned to each Shift.
3. Tasks
Tasks are what Helpers actually sign up for and carry out. A Task is created by combining a Job with a specific time period.
Expert subscriptions: Sections
Expert subscriptions can also use Sections as an additional structural level above Events. Once Sections are enabled, all Events must be assigned to a Section. This means you may have several Events on the same date that belong to different Sections.
Creating Events
Before you can create Events, Jobs must already exist. Once Jobs have been created, you can start creating Events. Depending on your subscription, the number of available Events and Tasks may be limited or unlimited. When creating an Event, you first choose the Event type and the system then guides you through the remaining steps.
FAQ
VOLAGIC Events are the highest "grouping level" for Tasks. If you have an event that only lasts one day, it can be planned within a single Event using Shifts and Tasks. However, it may also make sense to use several Events for the same day - for example, to represent different departments or similar structures.
Shifts are the middle "grouping level" for Tasks in VOLAGIC. You can use Shifts to structure your Events so that work taking place at the same Location and at the same time is clearly grouped together. This gives you an optimal overview and allows you to see at any time where and when Tasks are still open.
Tasks are what your Helpers take on. They consist of a Job and a time period.
