Locations

You can assign Locations to Events and Shifts so that your Helpers know where they need to work.

Whether you have a central check-in point for Helpers or prefer them to report directly to their work location, Locations allow you to clearly define where work takes place or where Helpers should report for each Shift or Event. This can be something simple such as "Sports Hall", or more specific, for example "Kitchen Area, Marquee B".

Overview

In the overview, you can see:

  • the Location name
  • the Location address
  • the email addresses of the Location contact person

From here, you can also:

  • open the Location details
  • edit the Location
  • delete the Location. This action cannot be undone!
  • view the Location log

At the bottom of the overview, you will find the button to add a new Location, the log for all Locations and the option to delete all Locations. This action cannot be undone!

Location detailed view

In the Location detailed view, all information stored for the Location is displayed clearly. From here, you can also edit the Location, view its log or delete it. This action cannot be undone!

Add / edit a Location

Adding a Location uses the same dialogue window as editing a Location. For this reason, both processes are described together here.

Name

Here you define the name of the Location. As with all system components in VOLAGIC, we recommend keeping the name concise. The Location name is displayed both in Event administration and in the Helper section, so it should be as clear as possible. The name is the only mandatory field for Locations.

Address

You can add an address to the Location, including street, house number, postcode and town/city. This can be particularly useful for Helpers who are unfamiliar with the area.

Link

A link can be added to every Location. This link is displayed as clickable information both in the Helper section and in confirmation and reminder emails. You can therefore link to precise map locations to help Helpers find their way. For example, you may use locations from Google Maps. We also recommend "Whatthreewords", a global 3 m × 3 m grid system where each square is uniquely identified by three words. This makes it easy to share highly accurate locations.

Email addresses

The email address entered here is never published publicly. You can store the email addresses of Location contacts who should be informed about upcoming events. Whenever Task reminder emails are sent to Helpers, these contacts will also be notified that one of your events will take place at the respective Location on the relevant date.
