Mailcenter

From the Pro subscription onwards, you can use the Mail centre to communicate with your Helpers directly from the tool.

Our Mail centre allows you to communicate directly with your Helpers from various places within the tool. You need at least a Pro subscription to use it, but the Mail centre does not need to be activated separately.

Mail centre

Wherever you can write emails, you will see the same email dialogue. It always has the same structure:

Recipient list

At the top, you can see who the email will be sent to and how many people will receive it. This cannot be changed, as it depends on where you opened the Mail centre.

Author

The person who is currently logged in is always entered here. This cannot be changed. It makes it possible to track who created and sent each email or draft. The author's name is not shown to Helpers.

Sender

The name of your organisation is set as the sender by default, but you can change it at any time. We recommend using a name that your Helpers will easily recognise.

Reply to

By default, the email address of the administrator who is currently logged in is used here. You can change this address if required.

Subject and message

These two fields work just like when you write a normal email. You can use basic formatting options and include links. Attachments are NOT supported. If you want to send files, upload them elsewhere, for example via Swisstransfer,  and include a link to them in the email.

Save as draft

You can either send your email immediately or save it as a draft. Please note: until it is sent, the draft is not stored under the "Mail centre" tab but in the place where you originally created the email. For example, a draft email to all Helpers can be found under "Helpers" – "Email all" – "Drafts".

Email all

At the bottom of the Helpers overview, you will find the "Email all" button. Here you can write an email that will be sent to all registered Helpers. It is not possible to select individual Helpers.

Email Group

At the bottom of the Group detailed view, you will find the "Email Group" button. The email you create here will be sent to all members of the selected Group. It is not possible to select individual Helpers.

Email Job

The email you create via "Email Job" in the Job details is sent to all Helpers who have signed up for or already completed this Job.

Email Event

In the Event details, you will find the "Email Event" button. Emails sent from here are delivered to all Helpers who have signed up for this Event.

Email Shift

To email all Helpers assigned to a specific Shift, open the Shift details and click "Email Shift".

Mail centre in APPAGIC

In the navigation, you will find the "Mail centre" link (available from Pro subscriptions). This takes you to APPAGIC, where you can see an overview of your emails. There are two menu items:

  • Individual messages
  • System messages

Individual messages

Here you can find all emails sent using the "Email..." buttons. For each email, you can see how many recipients it was sent to, which administrator created it, the subject and when it was sent. Clicking the recipient list at the beginning of the row displays everyone the email was sent to. You can also see the delivery status for each person.

The following statuses are possible:

successful – The email was sent and delivered successfully

Rejected – The email could not be sent to this person

Failed – The email cannot be delivered because the email address does not exist.

Emails that were not sent successfully are marked with an information icon next to their status. Click the icon to see the information returned by the mail server.

Clicking the eye icon at the end of the row displays a summary of the message content.

System messages

Here you can find all emails sent automatically by VOLAGIC, such as Task confirmations, reminders, copies for administrators and more. The list works in the same way as for individual messages.
