Groups

Helpers can be organised into Groups. Using Groups, you can control who is allowed to carry out which Job.

Groups overview

In the Groups overview, you can see all your Groups, including the number of members, the assigned Target value (per member), how many Tasks have already been planned/completed by the Group, and the overall Group target. Expert subscriptions can also assign Groups to a Section, which is displayed directly in the overview.

From the overview, you can also:

  • Open the Group details
  • Edit Groups
  • Delete Groups
  • Add Groups
  • Import Blocked dates
  • Delete all Groups. This action cannot be undone!
  • View the log for all Groups
  • Display Helpers without a Group

Target value display

The assigned Target value is displayed in the Groups overview. This always shows the Target value per Group member. If you define a Target value for the entire Group, it will appear in the actual/target overview, but not in the "Target value" column.

Group detailed view

In the detailed Group view, you will find all settings in one place. You can also manage Blocked dates here. At the bottom, you will find a list of all Helpers assigned to this Group. From there, you can open the Helper details directly and remove Helpers from the Group.

At the bottom of the page, you will find various buttons:

Add via email

You can create a new Helper directly here. The current Group is automatically selected and cannot be deselected.

Add existing Helper

Here you will see a list of all Helpers in your organisation who are not yet members of the active Group. You can add them to the Group using the plus button and save the changes.

From Pro subscriptions: Email to Group

This opens the mail centre, where you can send an email directly to all Helpers in this Group.

Delete Group

This deletes the Group. Warning: this action cannot be undone!

Log

This opens the complete log of the Group (not the logs of the Helpers assigned to it).

Editing / Creation

The options available when editing and creating a Group are the same. Therefore, only editing is referred to below.

Name

Here you define the name of the Group. This name appears in the Groups overview and should therefore be clear to you. Depending on the settings, the Group may also be available for selection by Helpers in the Helper section, so the name should be clear to them as well.

Helpers can assign themselves

This option is enabled by default. If it is disabled, this Group will no longer be available as a selectable option during registration. Helpers must then be added to the Group manually by administrators or via import.

Target values

Target values can be defined either per Group member or for the entire Group. If no Target value is required for a Group, enter "0" here.

Jobs for this Group

Jobs can be assigned to specific Groups, either as mandatory or optional. In the Group settings, Jobs that already have restrictions can be assigned as suitable for this Group. Jobs without restrictions are always available to everyone. Restrictions must first be defined within the Jobs themselves. See "Restrictions" for more information.
