Helper data
VOLAGIC can collect all the required information and data from Helpers.
Settings
Can Helper data be edited?
You can define whether Helpers can edit their own data. If you disable this option, Helpers will not be able to make any changes in the Helper section.
Are new registrations allowed?
You can prevent new registrations in your Helper section by disabling this checkbox. The Helper section will then only provide a login for existing Helpers, with no option to register. New Helpers can still be created or imported in the administration.
Password for the Helper section
You can protect your entire Helper section with a password. Anyone who does not know the password will be unable to view Events and Tasks. This can be used to make Tasks available internally only and completely exclude external people. You can also use it to temporarily protect the Helper section while you are actively working in the administration and do not want anything to become visible externally. Enter a password here; if you remove it, the Helper section will once again be freely accessible to anyone who knows the URL.
Is a password mandatory for Helpers?
By default, Helpers can log in to the Helper section simply by entering their email address. Helpers can set their own password at any time, but the organisation can also make a password mandatory. If this option is enabled, all Helpers are required to protect their login with a password.
Display of Helper names
Here you define how Helper names are displayed in the Helper section. There are three options:
- Full display (Max Mustermann)
- Shortened display (Max M.)
- No visibility
The name display setting has the following effects in the Helper section:
- Assigned Tasks - if Events/Shifts are not yet fully booked, an expandable section shows the people who have already taken on Tasks for that Event/Shift. This is shown with both the full and shortened name display. With "No visibility", only people who have taken on a Task with Responsibility are shown; all others are hidden.
- My Groups - Helpers who belong to one or more Groups can view the Tasks of their Group members under "My Groups". This option is completely hidden when "No visibility" is selected
Data fields
Predefined fields
- Helper phone number mandatory - Helpers must provide a phone number when registering
- Gender available - binary selection. For non-binary options, we recommend using custom fields
- Date of birth available
These predefined fields can be enabled using a checkbox. Once enabled, Helpers are required to provide the corresponding information.
Custom fields
Custom fields offer greater flexibility than the predefined fields. The following field types are available:
- Text field - free-text input by Helpers
- Numeric field - numeric input up to a maximum of 999,999
- Checkbox - confirmation of an option
- Date field - entry of a specific date
- Selection (radio) - selection of one of the available options
- Selection (dropdown) - selection of one of the available options from a dropdown field
- Multiple selection - selection of multiple available options using checkboxes
- Phone field - allows a phone number to be entered
You can create as many custom fields as you like. The label defines the "title" of the custom field. For example, "Shoe size" could be answered using a numeric field. Custom fields can be marked as mandatory; in this case, Helpers must complete the field when registering.
IMPORTANT: You can also create custom fields after Helpers have already registered. If you then mark these fields as mandatory, Helpers will be required to provide the information the next time they log in. However, Helpers who do not log in to the Helper section again after registering are NOT notified about the new field and will therefore not complete it.
